Dental answering service · Nationwide
The toothache that rang at lunch is on Thursday's schedule.
A dental phone is busiest exactly when the desk is busiest — check-out, check-in and the hour either side of lunch. The caller with a broken molar will not leave a voicemail, they will ring the next practice on the list. Zenith replies in less than 30 seconds, answers the insurance question, and sends them your booking page.
- Zenith at 12:41: Hi, this is the front desk at Camelback Family Dental. Sorry we missed you — what can we help with?
- Customer at 12:41: cracked a molar on the weekend, not really in pain but its sharp
- Zenith at 12:42: That is worth getting looked at this week before it chips further. Are you an existing patient with us, or would this be your first visit?
- Customer at 12:43: first time. do you take delta dental
- Zenith at 12:43: We do, and we are in-network. A new-patient exam with X-rays is $89 if you are paying yourself, and usually covered if you are not. Thursday 9:20am or Friday 3pm are open: camelbackfamilydental.com/book
Twelve-forty. Both desk staff were at lunch.
Why the practice phone gets dropped
- The desk is at its busiest during check-out, which is when the phone rings most.
- A new patient is worth years of recall visits, and rings three practices to find one.
- Lunch cover is one person, and that person is also taking payment.
- A short-notice cancellation leaves a chair and a hygienist idle.
What callers actually want
New-patient bookings, insurance and pain. Zenith handles the first two from what you load and moves the third to you fast.
- Book a job
New patients and recalls. It offers your open times and sends the booking page.
- Price question
Exams, cleanings, whitening. It quotes your fee schedule and never invents a number.
- Emergency
Pain, swelling, trauma. It stops asking questions, emails you immediately and tells the caller you will ring them.
- Reschedule
Moving or cancelling. It frees the chair and tells you, so the slot can be refilled.
- Hours
Early mornings, Fridays, holiday closures — answered the same way every time.
Multiple operatories and multiple providers are supported under one account, so a patient is booked against real availability rather than a guess. We work with businesses anywhere in the US. Zenith is software and messaging, so there is no service radius.
Dental practices questions we get asked
What happens with a real dental emergency?
It stops trying to book anything. Pain, swelling, bleeding or trauma are treated as urgent: you get an email straight away with what the caller said, and the caller is told you will call them back. Zenith does not triage clinically and it does not place calls — a person decides what happens next.
Can it answer insurance questions?
It answers what you load — which plans you are in-network with, and your self-pay fees. It will not check a specific patient's benefits or quote a coverage percentage, because that needs a real eligibility check. Those go to your desk with the plan name already captured.
Is this HIPAA compliant?
We do not hold your patient records and the intake is deliberately shallow — a name, what they were calling about, and when they want to be seen. If your practice requires a signed business associate agreement before a vendor touches inbound messaging, raise it on the call and we will tell you plainly what we can and cannot sign rather than guess.
15 minutes. Bring your call log.
We'll count what you actually missed last month and tell you what it cost. If it's not worth fixing, we'll say so.
Or go break the demo first. It costs you nothing to test.
